ST.  POLYCARP PARISH FIESTA

Dear Family in Christ, 

It is time, once again, for the Faithful Community of St, Polycarp Church to come together for a weekend of Food, Fellowship and Fun.  This is a special opportunity for all of us to gather to share our Faith and to celebrate the love and blessings that God has given us throughout the year.  It is also a time to open our hearts and welcome neighbors and friends from our surrounding communities.  As we come together in celebration, we will be helping our Parish grow and prosper so that we can continue to flourish for years to come. 

We have many opportunities for participation this year and I am hoping each parish organization will generously participate in this event.  We have the following positions open. Following each position is a brief description and time commitment as well. 

Supply Room Coordinator:  Assist with order preparation and acquisition; Set up/organize supply room; verify order; ensure supply room is staffed; track inventory; return items unused after event.  This person will need to attend 4-5 fiesta meetings, be at the school for set up in the evening on Thursday, October 7th, and be on site or designate someone to be on site Friday, October 8th for set up.  This person will need to be available the evenings of October. This person is also responsible to get a team together to be sure an adult is on site at all times during the event in the room.     

Prize Room Coordinator:  Assist with prize order and acquisition; Set up/organize prize room; verify prize order before and after event; ensure prize room is staffed; track inventory; return items unused after event. This person will need to attend 4-5 fiesta meetings, be at the school for set up in the evening on Thursday, October 7th, and be on site or designate someone to be on site Friday, October 8th for set up.  This person is also responsible to get a team together to be sure an adult is on site at all times during the event in the room. 

Game Booths Chair: This person will assist the prize coordinator with the prize order and acquisition and will need to understand the instructions/rules/prize structure and price for the games. This person will need to attend 4-5 fiesta meetings, be at the school for set up in the evening on Thursday, October 7th, and be on site or designate someone to be on site Friday, October 8th for set up.  This person is also responsible to get a team together to be sure an adult is on site at all times during the event in the room.

This person is also responsible to get a team together to be sure an adult is on site at all times during the event to check on the booths to be sure they have all the supplies/equipment they need.

First Aid Booth Captain: Be responsible for set up, supplies, equipment and operation of booth.  Be responsible for scheduling/staffing of booth.  Communicate with core team on needs during the event (supplies, equipment, volunteers, etc.). Be responsible for breakdown and clean up of booth and equipment, and be sure all equipment is returned to storage bin. This person will need to attend 4-5 fiesta meetings, be at the school for set up in the evening on Thursday, October 7th, and be on site or designate someone to be on site Friday, October 8th for set up.  This person is also responsible to get a team together to be sure an adult (with medical background – RN/RNP/DO/MD) is on site at all times during the event at the booth. 

Drink Booth Captain: Be responsible for set up, supplies, equipment and operation of booth.  Be responsible for scheduling/staffing of booth.  Communicate with core team on needs during the event (supplies, equipment, volunteers, etc.). Be responsible for breakdown and clean up of booth and equipment, and be sure all equipment is returned to storage bin. This person will need to attend 4-5 fiesta meetings, be at the school for set up in the evening on Thursday, October 7th, and be on site or designate someone to be on site Friday, October 8th for set up.  This person is also responsible to get a team together to be sure an adult is on site at all times during the event at the booth. 

Burger Booth Captain: Be responsible for set up, supplies, equipment and operation of booth.  Be responsible for scheduling/staffing of booth.  Communicate with core team on needs during the event (supplies, equipment, volunteers, etc.). Be responsible for breakdown and clean up of booth and equipment, and be sure all equipment is returned to storage bin. This person will need to attend 4-5 fiesta meetings, be at the school for set up in the evening on Thursday, October 7th, and be on site or designate someone to be on site Friday, October 8th for set up.  This person is also responsible to get a team together to be sure an adult is on site at all times during the event at the booth. 

Set-up Coordinator: Work with Core team during set up/direct volunteers to be sure grounds are ready for Friday night opening (supplies, equipment, decorations, signs, etc.). This person will need to attend 4-5 fiesta meetings, be at the school for set up in the evening on Thursday, October 7th, and be on site or designate someone to be on site Friday, October 8th for set up. 

Overnight Security Volunteers:  We need two volunteers to be on site from 11p-7a on (one team per night) Thursday, Friday and Saturday nights to walk the grounds and ensure the grounds are secure. 

Break-Down Coordinator: Work with Core team during set up/direct volunteers to be sure grounds are clean and all items are put away (supplies, equipment, decorations, signs, etc.). This person will need to attend 4-5 fiesta meetings, be on site Sunday evening and Monday morning and most of the day for break down. This person is also responsible to get a team together for Sunday evening and Monday following the event for site clean-up. 

All of these projects are made possible through the generous support of our loyal parishioners.  Your participation in the Annual Fiesta is a very important part of that support.  Please attend the next Fiesta Meeting on August 24, 2010, at 7pm in the Youth Group meeting room trailer.
